Large organizations with multiple offices and employees spread across the world face a complex challenge when it comes to managing human resources (HR) and payroll operations. Across industries, in-house administration of HR functions and reporting requires a significant commitment of time and resources, with some sources estimating more than $1,400 per employee per year for a large organization to handle, with more than $800 spent per employee on payroll-related operations alone.
It’s no surprise that organizations around the world recognize that these functions could be accomplished more efficiently. More than half of large multinational organizations surveyed in a recent study by auditing firm Ernst & Young reported using a knowledge-based database to manage payroll reporting, and 85% of respondents saw room for improvement in their current payroll processes and practices, citing legislative compliance as one of the biggest hurdles.
The food and beverage industry is no exception. ProKarma was working with a leading coffee retailer with more than 20,000 locations worldwide, and growing. Due to the number of employees (nearly 200,000) and paychecks and the magnitude of the data involved, it could take the company several weeks to gather payroll data. With the need to file quarterly reports, withhold employee taxes, pay withholding taxes to governments and manage employee benefits, among other HR functions, such a slow turnaround was less than ideal.
To address these HR and payroll reporting challenges, the retailer brought on ProKarma to create a proof of concept (PoC) prototype to demonstrate how data could be quickly reported, gathered and aggregated using SAP software. In just four months, the four-person ProKarma team developed a PoC that was able to aggregate billions of rows of data in a split second. Then, within a couple of weeks, the team created structures to hold the retailer’s data and the ability to view and process data immediately via a variety of business intelligence tools and interfaces, including dashboards and ad-hoc reporting tools. The solution was developed using an SAP Business Warehouse environment powered by SAP HANA with an SAP BusinessObjects Business Intelligence interface.
